Introduction

Native Plants Queensland (NPQ) is committed to protecting the privacy of personal information which it collects, holds and administers by preventing wrongful access, collection, disclosure or release of personal information by any means.

Application

Members of Native Plants Queensland (NPQ) must comply with this policy when viewing collecting and managing personal information. Members who leave NPQ must continue to respect the confidentiality and privacy of information gained while a member.

Information Collection and Storage

Member personal information is collected only to the extent necessary for the performance of NPQ’s objectives. Such information may include a member’s name, contact information, relevant interests, qualifications or experience.

Access to Personal Information by Members

Members have the right to seek access to their personal information held by NPQ and to correct it if it is not accurate or complete.

NPQ council members, branch officers, membership officers, website administrators and other members have access to personal information of members only for the purpose for which it was collected or a directly related secondary purpose.

Members may on request to an NPQ council executive or to the membership officer obtain information about other members provided they have a legitimate need for that information and only to the extent so required. (For example, to contact another member about NPQ business or to ascertain whether a particular person is a member.)

Members who obtain personal information must deal with the information fairly and responsibly and confidentially. Holders of personal information must not use it to gain a personal or financial advantage.

Making Information available to third parties

Personal information about a member may only be disclosed to a third party with the consent of the member except as follows:

• Summary details of new members (name and district) may be published in the NPQ journal.
• If the information is required to inform members of opportunities or events that are in line with NPQ’s objectives we may provide a third party member email contacts but only if NPQ council is satisfied that appropriate measures are in place by that third party to protect the confidentiality of the information. (For example: disclosure to ANPSA or sister societies of NPQ to notify NPQ members of forthcoming conferences or events)

Responsibilities

The council of NPQ is responsible to ensure that this policy is complied with. Any complaints, correction requests or other issues should be directed to NPQ council which shall promptly investigate or act on the request as appropriate.
